Privacy Policy
How Signal Fax collects, uses, protects, and shares information when you use our websites, applications, and fax services.

Overview
Signal Fax (“Signal Fax,” “we,” “us,” or “our”) provides cloud-based fax and related communications services. This Privacy Policy explains the information we process, why we process it, and the choices available to you.
This policy applies to signalfax.com, Signal Fax applications, and related services that link to this policy. If you use Signal Fax on behalf of an organization, that organization may separately control information submitted through its account.
Information we collect
Account information. We may collect your name, email address, organization, telephone number, authentication information, billing information, account preferences, and other information you provide when creating or managing an account.
Fax and communications data. To provide the service, we process fax numbers, transmission metadata, delivery status, timestamps, documents and other content you choose to send, receive, upload, or store through Signal Fax.
Usage and device information. We may collect IP address, browser and device information, pages or features used, log data, security events, and diagnostic information needed to operate, secure, and improve the service.
Payment information. Payments may be processed by third-party payment processors. We may receive transaction details and limited billing information but do not need to store full payment-card credentials when they are handled by our payment processor.
How we use information
We use information to provide, maintain, authenticate, secure, support, and improve Signal Fax; transmit and receive faxes at your direction; administer accounts and billing; prevent fraud and abuse; troubleshoot problems; communicate service and security notices; comply with law; and enforce our agreements.
We do not sell fax contents or Google user data. We do not use private fax contents or Google user data for advertising.
Google user data
If you choose to connect a Google account, Signal Fax accesses Google user data only after you authorize access through Google’s OAuth consent flow and only for the features you request.
Depending on the Google features you use, this may include basic account information such as your name and email address and, where you explicitly enable an integration, the Google data necessary to provide that integration. We request only the permissions needed for the applicable feature.
Signal Fax’s use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. We do not transfer Google user data to third parties except as necessary to provide or improve the user-facing feature you requested, for security purposes, to comply with applicable law, or as part of a transaction permitted by applicable policy and law. We do not use or transfer Google user data for serving advertisements or for determining creditworthiness or lending purposes.
You may revoke Signal Fax’s access to your Google account through your Google Account permissions. Revocation prevents future access but does not automatically delete information that we are legally or operationally required to retain.
Sharing
We may share information with service providers and subprocessors that help us host, secure, transmit, support, analyze, or bill for the service, subject to appropriate contractual and security obligations. We may also disclose information when required by law, to protect rights and safety, to investigate abuse, or in connection with a merger, acquisition, financing, reorganization, or sale of assets.
When Signal Fax processes protected health information on behalf of a covered entity or business associate, the applicable Business Associate Agreement governs that processing to the extent required by HIPAA.
Security & retention
We use administrative, technical, and physical safeguards designed to protect information against unauthorized access, loss, misuse, alteration, and disclosure. No system can guarantee absolute security.
We retain information for as long as reasonably necessary to provide the service, meet contractual commitments, comply with legal obligations, resolve disputes, and enforce agreements. Account administrators may have retention controls for fax documents and related records.
Your choices
Depending on where you live, you may have rights to request access to, correction of, deletion of, or a copy of certain personal information, or to object to or restrict certain processing. Some information may be retained where required by law, security needs, contractual obligations, or legitimate recordkeeping requirements.
You can also manage account settings, retention settings, integrations, and connected-account permissions through the applicable Signal Fax and third-party account controls.
Changes & contact
We may update this Privacy Policy as our services, practices, or legal requirements change. We will post the updated policy here and revise the “Last updated” date.
